ROLE OVERVIEW

Purpose

The purpose of the People and Culture Coordinator is to support the wider People and Culture team and the brands they are responsible for. This role is responsible for supporting the onboarding, offboarding and engagement initiatives throughout their brands. The People and Culture Coordinator also plays a role in the support on a number of identified projects for the wider Publicis Groupe

 KEY OUTPUTS                        

Responsibilities

Employment Relations

  • The point of contact for all junior ER issues with the designation brands, escalating when necessary to the People and Culture Advisor or Business Partner
  • The go to person for any policy questions
  • Keeps abreast of changes to employment legislation and shares updates with the wider team
  • Assists with any agency restructures including preparation of paperwork for redundancies
  • Champion of the probation process ensuring all relevant paperwork is completed and assists with any termination with probation meetings

On-boarding and Off-boarding

  • Ensures a smooth start for any new starters with all paperwork completed prior to start, working with the Experience team where necessary
  • Conducts all junior and mid level inductions
  • Proactively updates induction content as and when needed
  • Oversees any internal transfers across the Groupe
  • Oversees the leaver process
  • Conducts all junior and mid level exit interviews
  • Provides summary of exit interviews and new starter check ins to the relevant People and Culture Business Partner with suggestions on any steps to take

Visa and Immigration

  • Acts as point of contact for any visa or immigration queries from both our people and the Talent Acquisition team
  • Supports the visa and permanent residency process
  • Keeps up to date with immigration legislative changes and informs the wider People and Culture team of these

Parental Leave

  • Manages the parental leave process including requests from people for information, liaising with payroll, managing Keeping in Touch Days and the return from parental leave process

Reporting

  • Assists with the following reports; WGEA, CSR, various salary surveys etc.
  • The go to person for any figures relating to turnover and new starters
  • Assists the People and Culture Business Partner with engagement survey reporting

Culture

  • Assists in the developing and implementation of cultural events for the relevant agencies to help with retention and employee engagement
  • Contributes to the culture of the People and Culture team Experience

Skills and Qualifications

  • 1-2 years’ experience in a HR Administrator or Coordinator role (ideally multi-site)
  • Exposure to the full employee lifecycle
  • Qualification in HR Management (desirable)
  • Basic knowledge of visas and immigration is advantageous
  • Comfortable with the Microsoft Office suite
